Calendar Activities

There are two types of calendar activities:


  1. Appointments
  2. Memos


Both activities are identical except in there name and the icon that is displayed on the calendar.  It is up to you how you want to use the activity type, but Appointments are generally for meetings and Memos are for written reminders of a task to perform.


To add a calendar activity, right click on the day of the activity and select New Activity as in the example below:



If an activity already exists on the day where you right clicked, the pop up window appears as:



Where you can add a new activity, edit the existing activity, view the activity if it is "owned" by someone else, or find out who owns the activity.  (The other item in the pop up menu is to add Calendar Changes for the scheduler).


If you select New Activity, the following screen appears.  The edit has the same window only it is populated with the current activity information.


       


The calendar activity prompts are as follows:


  1. Activity Enter the activity type of either Appointment or Memo.
  2. Subject Enter the subject title for the activity.
  3. Category  If you selected to use Activity Categories enter the category for this activity.
  4. Broadcast  Broadcast identifies who will see this activity.  There are three options for Broadcast:

1.  Personal where only you can see the activity on your calendar.

2.  All where all DMS users can see the activity on their calendars.

3.  Users where you select which users and broadcast names can see the activity.

  1. If you selected Users as the broadcast type click on the icon to select users and broadcast names from a list.  The following screen appears:



Select the users or select a broadcast name using the selection box. To add the users of associated with a broadcast name, highlight the broadcast name and press the "Add User" button.  The corresponding users will be added to the selected users list.

  1. Start Time Enter the start date and starting time of day for the activity. 
  2. All Day Event If the All day event box is checked, then the starting time of day and ending time of day are hidden as these times are not required.
  3. End Time  Enter the end date and ending time of day for the activity.
  4. Reminder If you want a reminder, click the check box and enter how much time before the activity you want the reminder to occur.  The default is 15 minutes. 
  5. Reminder Dismissed  If you check the Reminder dismissed, the reminder will not occur.  If the reminder dismissed is unchecked, the reminder occurs.  When you dismiss a reminder through the Alarm Display, the reminder dismissed gets checked automatically.
  6. Description Enter a description of the activity in the window provided on the screen.  The description can be blanks or it can be multiple lines long.
  7. Follow up Action  You can enter and measure follow up action for any given calendar activity.  Follow up action consists of:
    1. Action Required  If you want to use follow up action, check the Action Required box.
    2. Person Responsible The person responsible must a valid user as the activity will appear on the person responsible's calendar.  The person responsible can only change the activity description, set the Reminder Dismissed for the follow up action, and set the action completed.
    3. Reminder Dismissed The reminder dismissed appears in the follow up action group box and pertains only to the person responsible.  When checked, the person responsible will not get a reminder on their calendar.  Note that if the owner of the calendar activity turns off their reminder notice, the person responsible will continue to get a reminder notice until they check the reminder dismissed.
    4. Action Completed  The action completed is a check box where the person responsible can indicate that they have completed the follow up action item.
