User Email Settings

User Email Settings enable the user to set up outgoing email settings for DMS emailing.  The users group must have access to User Email Settings to set up email for the logged in user or All User Email Settings to set up email settings for all DMS users (IT/DMS administrators should have group access to All user Email Settings to enable them to setup emails for all users). 


To select User Email Settings from the main calendar menu select Security | User Email Settings.  The following window appears:



If the user does not have permission to All User Email Settings, the User name prompt does not appear and only the logged in user name can be changed.


To edit one or more user emails:


  1. User name If the user has access to All User Email Settings, select the user from user name.  If the user can change their email only, select the Edit command.
  2. Email host (smpt.yourhost.com) Enter the email host.
  3. Email port number If a port number is used for the email, enter the port number.
  4. Email user name (name@company.com) Enter the user name email.
  5. Email password Enter the email password.  Note that the email password is hidden in the window and the email password is also encrypted in the database table.
  6. Name to appear on emails Enter the name you want to appear on the sent emails.
  7. Email address (name@company.com) Enter the email address.
  8. Press Save to save the email setting, or press Cancel to cancel the entry.
  9. Once the email setting has been saved, you can press the Test Email button.  DMS will respond with the following:



    Click OK if the email setting has been saved, otherwise click Cancel.  If OK is selected, DMS will send a test email from the entered email account to itself and display a message similar to:

Note:  DMS does NOT log a sent email in the sent email folder of Outlook or other email providers.  Also, DMS is set up to use a single email password.
