DMS system security is made up of for main parts:
User Groups are groups with defined system access rights. Examples of User Groups may be Planners, Administrators, Shop Foremen, IT, etc. User passwords are setup for each person who will be accessing DMS. Each password is associated with a user group. It is the user group that specifies what areas of the system the password can access. The purpose of User Settings Management is to enable a user to setup how they want the DMS screens to appear and then copy these settings to another user, a group of users, or one or more User Group names.
When you create a new dataset one user group exists and one password exist. The user group created is ALL and it has full access rights to all areas of the system. The user password created is called dms where the password is 'dms' (all lower case) and its user group is the newly created ALL enabling it full access to the system.
Set Password Rotation enables you to setup a time line in days to either force the DMS users to change their password or nag the users each time they login to change their password.
DMS user names and passwords are encrypted in the database. Both User names and passwords are case sensitive during login.
CAUTION! You must make sure that at least one user has a user password where "Security Access" is checked per each dataset. The checked security access enables the user to add, edit and delete passwords. If you do not have at least one user with security access, you will not be able to add, edit and delete passwords. Also, at least one user, typically an administrator, must have permission to perform automatic dataset updating on login. When a new release with database changes is installed, the user with permission to perform the dataset updating during login must login first to enable the updates to take place.
